Regional Practice Manager – Orange County and San Diego, CA

Primary Purpose:

The Regional Practice Manager responsibility encompasses a broad range of business and operational disciplines including: support staff management; appointment scheduling; front-desk operations; clinical operations; supply services; facilities management; patient relations, oversight of practice budgets; P&L responsibility; strong analytical skills; regulatory compliance.

The Regional Practice Manager will demonstrate a track record of accomplishment in healthcare operations and personnel supervision within a group practice environment and holds ultimate responsibility for operational and financial performance/growth for assigned practices and ancillary departments with a patient-centered best in class approach. The Regional Practice Manager is responsible for the recruitment, selection, training, performance evaluation of his/her office staff and works to directly support physicians and other providers in the office setting.

Essential functions:
• Own the financial and operational results for all assigned practice sites in alignment with budgets and goals
• To attain a full command of the competitive landscape for the practice area, make recommendations and execute on growth potential for the assigned practices
• To hire, train, motivate, review and administer performance management for all practice colleagues in alignment with established expectations, goals, policies and procedures in a fair, equitable and professional manner to attain a positive and productive work environment
• To ensure alignment with and implementation of all company policies and procedures
• To assist in provider recruitment and maintaining good relationships with providers
• Will have responsibility for colleague coverage of all aspects of practice operations including patient centered servicing and satisfaction, front office, clinical and back office functions
• Oversight of the practice P&L ensuring all expenses, including use of overtime, procurement, hiring and all costs and expenses are aligned with well documented and defensible business justification and approvals
• Completion of monthly practice audits and documented financial review of practice operations
• To convene regular meetings (at least monthly) with staff to disseminate information, provide feedback, solicit input and comments, and ensure employees are delivering patient-centered care in our practices.
• To inventory and order supplies ensuring a continuous supply of all item necessary for operations
• To thoroughly know all front desk duties, up to and including posting charges
• To ensure excellent customer service through setting appropriate expectations of staff (i.e., front staff to greet all on-site patients within 10 seconds; answer calls within 3 rings), monitoring staff for desired behavior, and appropriate intervention and/or remediation
• To negotiate and set up all vendor accounts, reviewing expenditures regularly to ensure the practice has the best possible price
• To control petty cash
• To ensure all daily batches and deposits are handled balanced and accurate, and submitted by the next working day at noon
• To ensure the office is opened and closed according to procedures
• To promptly respond to requests for information or assistance from all centralized supporting departments
• To resolve conflicts as necessary and escalate when appropriate
• To ensure confidentiality is maintained, relative to both patient and employee information
• To ensure all mail is delivered to appropriate parties at site
• To ensure cross-training of all personnel
• To be available on premises to provide employee/supervisor/peers with customer service in a professional and courteous manner, and to be a contributor to a positive work environment
• To perform special projects as directed by Senior Administration
• To perform other duties as assigned

Position Requirements:
• Bachelor’s Degree in Healthcare Administration and/or Accounting
• Minimum of 5 years healthcare operation experience leading multi-site practice/clinical group facilities
• Expert knowledge of medical facility management, P&L ownership and proven history in growing practice revenues
• Staff management experience of 75+ colleagues with provider, medical/clinical and operational staff responsibilities
• Requires knowledge of specialty practice operations related to dermatology, preferred
• Analytical, polished professional with excellent Microsoft Office knowledge (high to expert level in Excel. (NextGen/EMA healthcare system experience preferred)
